As Operations Manager, you will be responsible for overseeing and coordinating the organisation’s core operational support functions to ensure the smooth and efficient running of the organisation. This includes providing leadership and supervision to the administrative, HR, and finance teams, ensuring effective execution of their respective functions. You will also oversee facilities and building management matters, and play a key role in supporting and strengthening overall organisational operations and coordination across departments.
Duties and Responsibilities
Your principal duties and responsibilities include, but are not limited to, the following:
- Providing leadership and oversight to the administrative team, ensuring effective day-to-day operations, including facilities, services, building management matters, maintenance, office supplies, and coordination with vendors or contractors;
- Providing leadership and supervision to HR personnel, ensuring effective execution of HR functions including staff records, leave administration, onboarding, and employee matters;
- Providing leadership and supervision to finance personnel, ensuring proper handling of invoices, payments, procurement documentation, reimbursements, and liaison with external accountants or auditors;
- Manage the Institute’s budget, develop financial forecasting models, suggest financial strategies for institutional development and ensure compliance with financial regulations;
- Supporting management in operational planning, internal coordination, and strengthening cross-functional administrative and operational support;
- Overseeing staff responsible for coordinating onsite meetings, events, logistics, and organisational activities;
- Implement operational strategies aligned with the institute’s goals and objectives;
- Identify and mitigate operational risks;
- Support comprehensive goals for performance and growth;
- Assist in and/or secure fundraising ventures or projects;
- Undertaking any other duties and responsibilities as assigned by the Executive Director.
Minimum Requirement and Experience Required
- Bachelor’s degree in a relevant discipline with at least 5 years’ working experience (excluding undergraduate internship experience).
- Understanding of business functions such as HR, Finance, marketing, etc.
- Working knowledge of data analysis and performance/operations metrics.
- Familiarity with IT/business infrastructure, MS Office, and strong decision-making and problem-solving skills.
